{"id":2562,"date":"2025-01-16T01:57:51","date_gmt":"2025-01-16T01:57:51","guid":{"rendered":"http:\/\/www.thkms.org.sg\/?page_id=2562"},"modified":"2025-01-16T01:57:51","modified_gmt":"2025-01-16T01:57:51","slug":"privacy-notice","status":"publish","type":"page","link":"http:\/\/www.thkms.org.sg\/index.php\/privacy-notice\/","title":{"rendered":"Privacy Notice"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\"><strong>DATA PROTECTION NOTICE FOR DONORS,\nSERVICE USERS AND VOLUNTEERS<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This Data Protection\nNotice (\u201c<strong>Notice<\/strong>\u201d) sets out the basis\nwhich <em>Thye Hua Kwan Moral Society<\/em> (\u201c<strong>we<\/strong>, \u201c<strong>us<\/strong>\u201d or \u201c<strong>our<\/strong>\u201d) may\ncollect, use, disclose or otherwise process personal data of our prospective\nservice users, service users, service users&#8217; authorised representative, donors,\nvolunteers in accordance with the Personal Data Protection Act (\u201c<strong>PDPA<\/strong>\u201d). This Notice applies to personal\ndata in our possession or under our control, including personal data in the\npossession of organisations which we have engaged to collect, use, disclose or\nprocess personal data for our purposes. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Collection, use,\ndisclosure or otherwise processing of personal data of our service users on\nbehalf of government ministries or statutory boards will be in accordance with\nguidelines set out in the government\u2019s data management policy.<em> Thye Hua Kwan Moral Society<\/em> will comply\nwith the relevant requirements under the government\u2019s data management policy. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PERSONAL DATA<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As used in this Notice:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cpersonal data\u201d means data, whether true\nor not, about an individual (whether a prospective service users, service\nusers, service users&#8217; authorised representative, donors, volunteers or\notherwise) who can be identified: (a) from that data; or (b) from that data and\nother information to which we have or are likely to have access.<strong><\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Depending on the nature of your\ninteraction with us, some examples of personal data which we may collect from\nyou include name, identification numbers such as nric, fin, work permit and\nbirth certificate, contact information such as residential address, email\naddress or telephone number, nationality, gender, date of birth, marital\nstatus, medical history, photographs and other audio-visual information,\nemployment information and financial information such as credit card numbers,\ndebit card numbers or bank account information.<strong><\/strong><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Other terms used in this Notice shall\nhave the meanings given to them in the PDPA (where the context so permits). <strong><\/strong><\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>COLLECTION, USE AND DISCLOSURE OF PERSONAL DATA <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>We generally do not collect your personal\ndata unless (a) it is provided to us voluntarily by you directly or via a third\nparty who has been duly authorised by you to disclose your personal data to us\n(your \u201cauthorised representative\u201d) after (i) you (or your authorised\nrepresentative) have been notified of the purposes for which the data is\ncollected, and (ii) you (or your authorised representative) have provided\nwritten consent to the collection and usage of your personal data for those\npurposes, or (b) collection and use of personal data without consent is\npermitted or required by the PDPA or other laws. We shall seek your consent\nbefore collecting any additional personal data and before using your personal\ndata for a purpose which has not been notified to you (except where permitted\nor authorised by law). <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>We may collect and use your personal data\nfor any or all of the following purposes: <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>establishing\nor managing your relationship with us. This includes: <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Where\nyou are a prospective service user,<ul><li>&nbsp;processing and evaluating your\napplication for our services<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Where\nyou are a service user,<ul><li>providing the services requested by you;\nand<\/li><\/ul><ul><li>monitoring, evaluating and\/or auditing of\nservices provided. This may include an assessment of the quality of the\nservices provided and the effects of the services provided (both in the short\nand long term, and after you have stopped using the services).<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Where\nyou are a service user\u2019s authorised representative <ul><li>processing\nand evaluating the service user\u2019s application for our services<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Where\nyou are a donor,<ul><li>processing your donations and your\ntax-deduction claims<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Where\nyou are a volunteer,<ul><li>processing and evaluating your\nsuitability to volunteer; and<\/li><\/ul><ul><li>monitoring, evaluating and\/or auditing of\nservices you participated in.<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>providing\nyou with information on our upcoming events or activities, where you have\nspecifically requested to receive such information;<ul><li>verifying\nyour identity;<\/li><\/ul><ul><li>responding\nto, handling, and processing queries, requests, applications, complaints and\nfeedback from you;<\/li><\/ul><ul><li>complying\nwith any applicable laws, regulations, codes of practice, guidelines, or rules,\nor to assist in law enforcement and investigations conducted by any\ngovernmental and\/or regulatory authority;<\/li><\/ul><ul><li>any\nother purposes for which you have provided the information;<\/li><\/ul><ul><li>transmitting\nto any unaffiliated third parties including our third party service providers\nand agents, and relevant governmental and\/or regulatory authorities, whether in\nSingapore or abroad, for the aforementioned purposes; and<\/li><\/ul><ul><li>any\nother incidental purposes related to or in connection with the above.<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>We may disclose your personal data: <ul><li>where\nsuch disclosure is required for, or in connection with, the provision of the\nservices requested by you; <\/li><\/ul><ul><li>to\ncomply with any applicable laws, regulations, codes of practice, guidelines,\nrules or requests by public agencies, or to assist in law enforcement and\ninvestigations; and <\/li><\/ul><ul><li>any\nother party to whom you authorised us to disclose your personal data to, or\nwhere necessary to undertake any action requested by you. <\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>The purposes listed in the above clauses\nmay continue to apply even in situations where your relationship with us ) has\nbeen terminated or altered in any way, for a reasonable period thereafter\n(including, where applicable, a period to enable us to enforce our rights under\na contract with you). <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>After the lapse of the\nopt-out period, you may notify us that you no longer wish to consent to the\npurposes for which your consent was deemed by notification by withdrawing your\nconsent for the collection, use or disclosure of your personal data in relation\nto those purposes.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>WITHDRAWING YOUR CONSENT <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>The consent that you provide for the\ncollection, use and disclosure of your personal data will remain valid until\nsuch time it is being withdrawn by you or your authorised representative in\nwriting. You or your authorised representative may withdraw consent and request\nus to stop collecting, using and\/or disclosing your personal data for any or\nall of the purposes listed above by submitting your request via email or\notherwise in writing to our Data Protection Officer at the contact details\nprovided below. If you are unable to submit your request in writing or if you\nrequire any assistance with the submission of your request, you can ask to\nspeak to or meet with our Data Protection Officer.<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Upon receipt of your written request to\nwithdraw your consent, we may require reasonable time (depending on the\ncomplexity of the request and its impact on our relationship with you) for your\nrequest to be processed and for us to notify you of the consequences of us\nacceding to the same, including any legal consequences which may affect your\nrights and liabilities to us. In general, we shall seek to process your request\nwithin thirty (30) business days of receiving it. <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Whilst we respect your decision to withdraw your consent, please note that depending on the nature and scope of your request, we may not be in a position to continue providing our goods or services to you and we shall, in such circumstances, notify you before completing the processing of your request. Should you decide to cancel your withdrawal of consent, please inform us in the manner described in clause 8 above. <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Please note that withdrawing consent does not affect our right to continue to collect, use and disclose personal data where such collection, use and disclose without consent is permitted or required under applicable laws. <\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>ACCESS TO AND CORRECTION OF PERSONAL DATA <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>If you wish to make (a) an access request for access to a copy of the personal data which we hold about you or information about the ways in which we use or disclose your personal data, or (b) a correction request to correct or update any of your personal data which we hold about you, you may submit your request via email or otherwise in writing, to our Data Protection Officer at the contact details provided below. If you require assistance with the submission of your request, you can ask to speak to or meet with our Data Protection Officer. <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>Please note that a reasonable fee may be charged for an access request. If so, we will inform you of the fee before processing your request. <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>We will respond to your request as soon as reasonably possible. In general, our response will be within thirty (30) business days. Should we not be able to respond to your request within thirty (30) days after receiving your request, we will inform you in writing within thirty (30) days of the time by which we will be able to respond to your request. If we are unable to provide you with any personal data or to make a correction requested by you, we shall generally inform you of the reasons why we are unable to do so (except where we are not required to do so under the PDPA). <\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PROTECTION OF PERSONAL DATA<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>To safeguard your personal data from unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks, we have introduced appropriate administrative, physical and technical measures such as minimised collection of personal data, authentication and access controls (such as good password practices, need-to-basis for data disclosure, etc.), encryption of data, up-to-date antivirus protection, regular patching of operating system and other software, securely erase storage media in devices before disposal, web security measures against risks, usage of one time password(otp)\/2 factor authentication (2fa)\/multi-factor authentication\u00a0(mfa) to secure access, and security review and testing performed regularly. <\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>You should be aware, however, that no method of transmission over the Internet or method of electronic storage is completely secure. While security cannot be guaranteed, we strive to protect the security of your information and are constantly reviewing and enhancing our information security measures. <\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>ACCURACY OF PERSONAL DATA <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>We generally rely on personal data provided by you (or your authorised representative). In order to ensure that your personal data is current, complete and accurate, please update us if there are changes to your personal data by informing our Data Protection Officer at the contact details provided below. <\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>RETENTION OF PERSONAL DATA <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>We may retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws.<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>We will cease to retain your personal data, or remove the means by which the data can be associated with you, as soon as it is reasonable to assume that such retention no longer serves the purpose for which the personal data was collected, and is no longer necessary for legal or business purposes. <\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>TRANSFERS OF PERSONAL DATA OUTSIDE OF SINGAPORE <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>We generally do not transfer your\npersonal data to countries outside of Singapore.
